POSITION SUMMARY
The Administrative Assistant provides a full range of administrative and program support to The Nature Conservancy of Kansas. The Administrative Assistant will report to the Director of Operations.
ESSENTIAL FUNCTIONS
The Administrative Assistant will handle day-to-day tasks to help keep the office running smoothly, as well as manage details on some projects and events. Day-to-day tasks include handling mail and phone inquiries, drafting correspondence, making travel arrangements, purchasing supplies, processing invoices, depositing payments and other items as needed. The Administrative Assistant will also handle some logistics for events like board meetings and staff retreats.
RESPONSIBILITIES AND SCOPE
  • Financial responsibility includes processing invoices, preparing accounting forms, purchasing supplies, and submitting expense reports.
  • Office management includes maintaining a professional office space that’s functional for staff and presentable to guests. Specific responsibilities include tasks like coordinating maintenance of office facility and equipment and purchasing office supplies.
  • Reception duties include greeting guests to our office, handling phone inquiries, and keeping the lobby presentable.
  • Other duties may be assigned as needed.
  • May occasionally work extra hours.
  • Does not supervise any staff, but may help plan and direct the work of volunteers or interns.
MINIMUM QUALIFICATIONS
  • Associate's Degree plus 1 year experience or equivalent combination.
  • Experience with some or all of the following: customer service, managing calendars, making travel arrangements, scheduling meetings, handling event logistics, entering expense reports and invoices, and managing an office.
  • Experience meeting deadlines for a range of projects and tasks.
  • Experience working and communicating with a wide range of people.
  • Experience writing, editing, and proofreading written materials.
PREFERRED QUALIFICATIONS
  • Excellent problem solver who anticipates and addresses problems before they arise when possible.
  • Great people skills and collaborative spirit. Customer service experience a plus.
  • Experience with event planning and coordination.
  • Strong organizational skills and attention to detail.

Position is part-time (21 hours per week).
