POSITION SUMMARY
The Hoft Farm Facilities Assistant is responsible for the safe and efficient operation and maintenance of the house and cabins on the Hoft Farm Field Station, a property owned and operated by The Massachusetts Chapter of The Nature Conservancy for housing researchers and seasonal staff working for environmental conservation. The Facilities Assistant has three major areas of responsibility: maintaining the residences, recordkeeping on a cloud-based spreadsheet, and ensuring seasonal lodgers (staff, interns and partners) have organized and satisfactory living arrangements.
The Facilities Assistant position is a seasonal (April- November), part-time (up to 10 hours/week) position. Work schedule will vary depending on needs and incoming/outgoing visitors at the Hoft Farm. Housing at Hoft Farm may be available if necessary.
ESSENTIAL FUNCTIONS
The Hoft Farm Facilities Assistant manages the routine maintenance of the property by performing and/or coordinating the property’s cleaning chores, preforming minor repairs, and maintaining supplies. S/he ensures the public spaces are consistently clean, organized, and free of extraneous personal items. The Facilities Assistant works with TNC staff to monitor and review utility usage/costs and discrepancies.
S/He ensures that seasonal residents and short term guests have satisfactory living arrangements by planning for and orienting new lodgers, responding appropriately to issues and emergencies, and communicating and enforcing rules and policies. The Facilities Assistant will maintain an ongoing dialogue with both local and Boston-based TNC staff to ensure Conservancy policies are adhered to and issues are dealt with efficiently. S/he records and tracks resident/guest arrivals, departures and associated paperwork.
RESPONSIBILITIES AND SCOPE
  • Responsible for incoming and outgoing Hoft Farm residents. Orient new residents to Hoft Farm by reviewing rules and expectations and ensuring forms and fees are submitted. Check out departing residents efficiently.
  • Work with both local and Boston-based TNC staff to coordinate bedroom assignments in the house and cabins. Chronicle residents and short term guests in an internal spreadsheet and respond to email and phone inquiries about space availability for short term guests following internal policies and documentation.
  • Equitably enforce Hoft Farm rules and policies; coordinate and assign chores and resolve conflicts among residents.
  • Clean and prepare rooms and cabins as needed prior to occupancy.
  • Carry out basic maintenance (cleaning, organizing, refuse removal, etc…); regularly wash common linens, maintain specific supplies, and ensure common spaces are clean, organized and uncluttered.
  • Make small repairs as necessary. Coordinate maintenance and repairs of heating, water, and utility systems with local tradesmen as needed. Record maintenance in logbook.
  • Perform routine maintenance on the farm’s Clivus composting toilet system.
  • Respond to major/emergency repairs and keep other Conservancy staff abreast of issues.
  • Check TNC email and voicemail daily. Respond to messages and relay relevant information to pertinent staff.
  • Duties are performed according to instructions or established practices.
  • Work environment involves infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
MINIMUM QUALIFICATIONS
  • Ability to learn procedures and follow instructions.
  • Experience communicating with a diverse audience; customer service.
  • Experience coordinating groups and/or group living.
  • Experience in safely using and maintaining equipment, such as power and construction tools.
  • Knowledge of basic house maintenance.
  • Ability to complete tasks within assigned timeframes, in the absence of supervision.
  • Strong organizational skills with ability to maintain detailed records using Microsoft Word and Excel, keep track of personal passwords for electronic timesheet and TNC intranet.
PREFERRED QUALIFICATIONS
  • Excellent communication and interpersonal skills.
  • Ability to lead and influence without supervision.
  • Experience resolving conflicts.
  • Maturity, responsibility, and dependability.
  • Basic practical knowledge of house maintenance and repairs.
  • Experience or knowledge of natural systems appreciated but not required.
  • Multi-lingual skills appreciated
  • Multi-cultural or cross-cultural experience preferred

Short-term (26-34 weeks: approximately April- November)
Part-time (5-10 hours/week)
Housing may be available if necessary.
$16/hour
