BACKGROUND: The Administrative Assistant will provide support to CRS’s 4-person Impact Investing (II) team.  He/she will help support the 4 major streams of work articulated below:
1.      Incorporate Impact Investing and Social Enterprise into CRS Programs
2.      Identify investment opportunities in social enterprises, funds or other vehicles which support CRS beneficiaries.
3.      Help build the capacity of the global Church to use impact investing and social enterprise to further its social mission
4.      Influence the impact investing sector and the US Catholic community toward investment focused on the poorest and most vulnerable
RESPONSIBILITIES:
The Administrative Assistant is a key member of the II unit and will provide administrative back-stop, including meeting administration, event planning, database and list management, and research activities as required.   Due to the start-up nature of CRS Impact Investing activities, the Administrative Assistant should be comfortable with a flexible and evolving role that supports all aspects the four major work streams noted above with other members of the small team. 

·      Lead and coordinate planning, travel and onsite logistics for large scale activities organized by the Impact Investing Unit, including multi-day trainings/workshops, Conferences and VIP learning trips. Travel and logistics support includes arranging and coordinating venues, flights, ground transportation, lodging, meals, supplies, A/V and expense reporting/reimbursements.  In collaboration with the II team, develop, manage and disseminate agendas, briefing materials and any follow-up reporting related to these activities
·      Schedule, coordinate, provide A/V and other logistical support, for II unit-originated internal/external meetings and conference calls. Participate in meetings and prepare/distribute detailed meeting notes as required.
·      Provide administrative support for investment analysis processes, including data entry, as required.  
·      Maintain Unit office supplies and manage Unit Staples, Fedex and Foodify accounts. 
·      Manage vendor information and billings related to II Unit: complete purchase orders and requisitions, review invoices, and submit payments.
·      Maintain Impact Investing internal management systems (e.g. file storage and sharing - Box, shared Outlook Calendar, Outlook Contacts Database) and CRS-HQ information and relationship management system (e.g.Gateway). 
·      Monitor and maintain up-to-date agency administrative resources (forms, templates) and policies & and procedures.   
SUPERVISORY RESPONSIBILITIES:  None
Key Working Relationships:
Internal: Administrative staff across departments, CPs and ROs; Finance Division staff; Global Knowledge and Information Management (GKIM) department staff, Key technical and business development staff in Country Programs., Regional Offices, Program & Impact Quality Assurance (PIQA), and Institutional Donor Engagement & Advancement (IDEA) attending Impact Investing organized events; Marketing & Communications department;
External: Church partners attending Impact Investing organized events and their administrative staff; Capacity-building partners; Event and IT product and service vendors.
Qualifications and Personal Skills
·      Bachelor’s Degree in finance or accounting preferred.
·      2-4 years’ experience in finance, impact investing, accounting and/or office coordination.
·      Interest in Impact Investing.
·      Proficiency in Microsoft Office, in particular Excel, Word & PowerPoint.
·      Excellent analytical, writing, organizational and verbal skills.
·      Ability to effectively present information to different audiences.
·      Ability to communicate with CRS staff at all levels.
·      Ability to communicate professionally and diplomatically to internal and external leadership is a must, especially Executives, Board Members and their offices, Church leaders, Vatican staff.
·      Ability to work independently and manage systems.
·      Ability to handle multiple long-term and/or complex projects with little supervision and facilitate cooperation among different departments and programs.
·      Proactive, highly self-motivated, attention to detail, resourceful, creative problem-solving skills.
·      Strong time management skills, ability to prioritize and multitask.
·      Customer-service orientation.
·      Ability to work effectively and efficiently under pressure while maintaining a positive attitude.
·      Proficiency in one or more widely-spoken foreign languages desirable.
