Responsibilities
Within limits of delegated authority, the Senior Staff Assistant is responsible for the following duties: 
• Assists in the overall administration in the front office of the Assistant Secretary-General for Strategic Coordination, and direct assistant to the Assistant Secretary-General.
• Responds or drafts responses to a wide range of correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports; carries out quality control function for outgoing documents; proofreads and edits texts for adherence for format, grammar, punctuation and style.
• Researches, compiles and summarizes background materials for use in preparation of reports, briefs, speeches, etc. 
• Screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling. 
• Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions. 
• Maintains calendar/schedules and resolves related conflicts and competing demands; monitors changes and communicate relevant information accordingly.
• Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, etc. 
• Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, vouchers, visa applications, etc.).
• Maintains files (both paper and electronic) and databases for work unit.
• Prepares, processes and classifies confidential information. 
• Performs other duties as assigned.

Education
High school diploma or equivalent is required.
Work Experience
A minimum of seven years of experience in administrative services, finance, accounting, audit, human resources or related area is required. Experience providing assistance to senior officials is required. Experience working in a front office environment is required. Experience with processing travel requests for senior officials is required.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage.
Assessment
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
